About The Position

The Administrative Assistant serves as a centralized administrative resource for the CEO while also providing administrative support to the Managing Director. This role involves managing calendars, coordinating travel, preparing expense reports, and organizing meetings. Additionally, the position will provide general administrative support to USTA Coaching staff and initiatives, including processing invoices and managing office supplies. The role requires maintaining confidentiality and performing other administrative duties as assigned.

Requirements

  • Minimum of 3–5 years of experience in an administrative assistant, office coordinator, executive support, or similar role.
  • Experience managing calendars, travel arrangements, expense reporting, and meeting coordination.
  • Proficiency in Microsoft Office Suite, Google Workspace, and Concur (or similar expense management systems).
  • Strong organizational, communication, and administrative support skills.
  • Ability to manage multiple priorities, maintain confidentiality, and exercise sound judgment.

Responsibilities

  • Manage and maintain the CEO's calendar, including scheduling meetings and coordinating logistics.
  • Coordinate domestic and international travel arrangements, itineraries, and related travel materials.
  • Prepare and submit expense reports and reconcile corporate credit card transactions through Concur.
  • Coordinate virtual and in-person meetings, including preparation of agendas, materials, and related documentation.
  • Track follow-up items and assist with administrative coordination.
  • Maintain the CEO's office environment, ensuring the space remains organized, professional, and ready for meetings and visitors.
  • Maintain confidentiality while handling sensitive information and records.
  • Assist with calendar coordination, travel arrangements, expense reporting, meeting logistics, and administrative follow-up activities for the Managing Director.
  • Assist with the preparation and distribution of materials, communications, and related documentation.
  • Provide general administrative support to USTA Coaching staff and initiatives as assigned, including team gatherings, team recognition efforts, invoice and purchase order processing, shipping, office supplies, etc.
  • Perform other administrative duties as assigned by the CEO or Managing Director, Head of Business Development & Operations, USTA Coaching.
