About The Position

The primary responsibilities include serving as the front desk coordinator and providing assistance to employees and project managers in the Detroit Lakes office and other locations. The position includes a wide variety of office administrative tasks such as document creation and editing, printing, copying, scanning, filing and organizational projects, answering calls, processing incoming and outgoing mail, and being involved in a variety of operational activities. Travel arrangements for staff and fleet management are key duties in this role.

Requirements

  • High School diploma or equivalent is required.
  • Strong computer skills and experience with Microsoft Windows/Office products (Word, Excel, Outlook, PowerPoint).
  • Must be able to interact in a positive manner and work both independently and in team environments.
  • Excellent customer service, oral, and written communication skills.
  • Adaptable and comfortable with shifting priorities.
  • Must be detail-oriented, self-motivated with strong interpersonal and organizational skills, and have the ability to make sound decisions.
  • A valid driver’s license is required or the ability to obtain one.
  • Must be flexible and willing to pitch in as needed.
  • Perform responsibilities in a conscientious, legal, and ethical manner with a strong attention to detail.
  • Ability to operate a computer under normal ergonomic office conditions.
  • Ability to lift boxes and supplies up to 35 lbs.

Nice To Haves

  • Associates Degree specializing in administrative assistant, business, or related field is preferred.
  • 3-5 years of office experience with a professional services firm preferred.
  • Previous experience working in an engineering, architecture, or construction firm considered a plus.

Responsibilities

  • Serve as the front desk coordinator.
  • Provide assistance to employees and project managers.
  • Perform document creation and editing, printing, copying, scanning, filing, and organizational projects.
  • Answer calls and process incoming and outgoing mail.
  • Manage travel arrangements for staff.
  • Oversee fleet management, including vehicle coordination and scheduling maintenance and repairs.
  • Inventory and order supplies for Detroit Lakes and other offices.
  • Plan, coordinate, and host internal social and business events.
  • Perform daily office opening and closing duties, including office upkeep.
  • Attend company and project meetings as requested.
  • Understand and follow company employee handbook and mandated safety policies.
  • Participate in training opportunities.
  • Perform other duties as assigned.
