About The Position

This position serves as an Administrative Assistant for the Public Works Department. The role involves greeting visitors, managing phone calls, creating and updating various permits and reports, coordinating plan reviews, managing work orders and schedules, updating the department website, processing payments, ordering office supplies, and collecting data. The position requires strong organizational and communication skills, as well as proficiency in office software and equipment.

Requirements

  • High school diploma, or equivalent, is required
  • 3+ years' experience with office systems and office procedures required
  • 1+ year experience in customer service required
  • Basic knowledge of Word and Excel required
  • Basic knowledge of computers, email, and the internet required
  • Must possess a valid Utah Driver's License with a good driving record
  • Excellent oral communication skills required
  • Must have excellent oral and written communication skills
  • Required to have excellent customer orientation skills
  • Must have excellent multi-tasking and problem-solving skills
  • Required to have strong team interaction skills
  • Required to have excellent analytical and decision-making skills
  • Ability to establish and maintain effective working relationships with supervisors and other employees

  • Successful candidates must pass a pre-employment drug screening, background check, and driving record review.
  • This position is subject to a six-month probationary period.

Nice To Haves

  • Associate degree in Administrative Services or related field preferred

Responsibilities

  • Greet all visitors to the Public Works facility enthusiastically and professionally
  • Serve as a receptionist, answering the phone and directing calls to the proper person; take and deliver messages for all team members
  • Creates or updates various permits and reports for all divisions of the Public Works Department, i.e., statistical reports, historical reports, routine quarterly reports, GPS reports, radiation permits, etc.
  • Prepare regular scheduled reports; daily, weekly or monthly
  • Coordinates plan review/redline document flow between divisions and tracks the process both on paper and electronically
  • Manages work orders and public works building schedule, and maintains application database and files
  • Schedules inspections for the Engineering and Stormwater divisions
  • Manages and updates the Public Works website page and public complaint software
  • Accepts and processes permit payments
  • Monitor and order inventory of office supplies
  • Collect data for assigned divisions and perform basic data entry
  • Assume other responsibilities and complete other tasks as requested
