About The Position

PHI Health is seeking a dynamic and driven Administrative Assistant to join their life-saving team. This role provides crucial support to the administrative staff, including directors, managers, and supervisors, by managing projects, composing correspondence, scheduling meetings, coordinating travel, and maintaining company documents. The position plays a vital role in ensuring the seamless operations of the organization's advanced fleet and patient safety. PHI Health is the leading air ambulance provider in the United States, known for its safety record and expertise in aviation, medical, and communication. Requirements

  • High School diploma or equivalent required.
  • Four years of progressively responsible secretarial experience, preferably in a healthcare or aviation environment.
  • Expertise in Microsoft Office products and Windows computer applications.
  • Excellent skills in grammar, spelling, punctuation, and organization.
  • Effective human relations and communications skills to interface with all levels of management, staff, and the public.
  • Ability to read, comprehend, write, and speak English fluently.
  • Ability to maintain confidentiality at all times.
  • Ability to effectively compose correspondence and independently prioritize workflow.
  • Ability to produce high-quality, high-volume work rapidly and on a consistent basis.
  • Ability to work with frequent interruptions and work on multiple projects simultaneously.
  • Familiarity with Training Management System and Learning Management System software (Fox Britannica preferred).

  • Experience in a healthcare or aviation environment is preferred.

Responsibilities

  • Provide advanced, skilled administrative support to administrative staff (directors, managers, supervisors, etc.).
  • Perform project management tasks.
  • Compose correspondence and type documents.
  • Schedule meetings and coordinate travel arrangements.
  • Maintain company manuals and forms.
  • Utilize Microsoft Office software (Word, Excel, PowerPoint, Access) and Windows applications for tasks such as merging documents, developing complex tables and forms, preparing general office correspondence, and maintaining computer files.
  • Organize and efficiently produce large, complex projects like policy and procedure manuals and contract RFPs.
  • Effectively organize and monitor workflow to meet required calendar deadlines.
  • Provide coverage and relief for other administrative assistant personnel during absences.
  • Assist in the preparation of educational, marketing, medically focused materials, and administrative documents while maintaining confidentiality.
  • Develop and maintain databases, track contract expiration dates, and advise managers of impending due dates.
  • Assist all departments and managers with special projects and overflow work.
  • Coordinate and arrange travel, including hotels, airfare, and rental cars.
  • Perform other duties as assigned.
