About The Position

This is a full-time Administrative Assistant position designed to complement the Governance position while serving as the department's operations and museum lead for the Department of Mass Media, Art and Design / Crisp Museum. The role involves providing administrative support for River Campus academic office operations and the Crisp Museum, coordinating facilities scheduling, exhibitions, receptions, tours, public programs, and special events. It also includes supporting museum operations, visitor services, artist communications, and exhibition logistics, as well as managing operational purchasing, budgets, inventories, keys, access, and departmental assets. The position requires maintaining grants, donor, accreditation, and operational records, providing front-office reception and support, and training and supervising student employees. The Administrative Assistant will also substitute for the college senior administrative assistant as needed.

Requirements

  • High school diploma or GED.
  • Demonstrated proficiency with Microsoft Office (Word, Excel, Outlook) and ability to learn university systems.
  • Excellent organizational, interpersonal, verbal, and written communication skills.
  • Demonstrated ability to manage multiple priorities with frequent interruptions.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Experience with bookkeeping, purchasing, budget reconciliation, accounts payable/receivable, or similar financial processes.
  • Commitment to outstanding customer service and positive relationships with students, faculty, staff, and external constituents.

Nice To Haves

  • Experience supervising, training, or coordinating student employees or support staff is a plus.

Responsibilities

  • Provide administrative support for River Campus academic office operations and the Crisp Museum.
  • Cross-train and coordinate with the administrative support for the Main Campus academic office to ensure consistent departmental service.
  • Coordinate facilities scheduling, exhibitions, receptions, tours, public programs, and special events for the department and the museum.
  • Support museum operations, visitor services, artist communications, and exhibition logistics.
  • Manage operational purchasing, budgets, inventories, keys, access, and departmental assets for the River Campus office.
  • Maintain grants, donor, accreditation, and operational records as assigned.
  • Provide front-office reception and support to River Campus office visitors, students, faculty, and community partners.
  • Train and supervise student employees supporting museum and operational functions and coordinate daily office workflow.
  • Substitute for the college senior administrative assistant as needed.
