About The Position

SIGA is seeking an organized and detail-oriented Administrative Assistant to support its R&D operations team located in Corvallis, Oregon. This role supports the review and recording of digital records to verify completeness and usability. This position also supports the upload of digital records into the Company’s EQMS. This is a hands-on, detail-driven support role that reports to the Director of Human Resources, with daily work directed by the Project Execution Coordinator. This is a temporary, non-exempt position with an anticipated term of 3-6 months, depending on project and vendor timelines. This position is required to be on-site in Corvallis, Oregon. Remote/hybrid work is not available for this position. The standard hours per week for this position will be between 25-30, flexible to project and team needs, between the hours of 7:30 am - 4:30 pm M-F. This position is not benefits-eligible. Employment is subject to completion of a post-offer criminal background check.

Requirements

  • High School Diploma or equivalent required.
  • Basic proficiency with Microsoft Office Suite (Excel in particular), Adobe PDF, and shared file systems.
  • Strong attention to detail and comfort with repetitive, methodical verification work.
  • Basic comfort with spreadsheets/trackers and shared file systems (e.g., Egnyte or similar).
  • Reliable and self-directed once trained; this work runs on a vendor-controlled calendar.
  • Comfortable flagging issues and following up on missing information without needing to resolve it personally.
  • Must be able to maintain confidentiality and handle document contents professionally.
  • Must be able to work independently while keeping the Execution Coordinator informed.

Responsibilities

  • Review each batch of returned digitized files against the vendor's index/manifest for completeness: correct file counts, missing files, unreadable or corrupted pages, missing verification forms.
  • Spot-check file legibility and quality against the source material where needed.
  • Log every discrepancy (missing files, page-count mismatches, unreadable files, etc.) in the shared tracker, with enough detail for follow-up.
  • Help move verified files into the correct staging folders, organized by department.
  • Keep the batch-by-batch review status current and accurate in the tracker.
  • Flag anything time-sensitive or unclear to the Execution Coordinator rather than resolving it independently.
  • Performs other duties as assigned.
