About The Position

The Administrative Assistant provides proactive administrative and operational support across Gordon Brothers. The position will serve as the primary administrative partner to the Head of Marketing while also supporting other executives and business leaders as needed. In addition to support responsibilities, this role helps ensure the smooth operation of the Boston office and provides coordination support for key marketing, communications, and events. This position offers broad exposure across the organization and the opportunity to contribute to marketing-related projects for candidates with an interest in marketing, communications, or event management.

Requirements

  • 3+ years of experience in an administrative or office management capacity.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills with a professional and polished presence.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Highly proficient in Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, and Teams.
  • Experience coordinating meetings, travel, events, and executive calendars.
  • Strong attention to detail, follow-through, and problem-solving skills.
  • Ability to work independently while building effective relationships across all levels of the organization.
  • Customer-service mindset with a proactive, resourceful, and adaptable approach.

Nice To Haves

  • Bachelor's degree preferred but not required based on relevant experience.

Responsibilities

  • Provide day-to-day administrative support to the Head of Marketing and other designated business leaders.
  • Manage calendars, scheduling, meeting coordination, travel arrangements, and expense reporting.
  • Prioritize competing requests and ensure leaders are well prepared for meetings, travel, and business commitments.
  • Process department invoices and track against budget.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Support special projects and cross-functional initiatives as needed.
  • For candidates with relevant skills and interest, there may be opportunities to take on additional marketing and communications responsibilities over time.
  • Assist with daily operations of the Boston headquarters as needed, including conference room management, visitor registration, catering coordination, and meeting logistics.
  • Serve as a welcoming point of contact for guests and external visitors.
  • Coordinate with building management, security, and hospitality teams to support on-site activities and events.
  • Assist with office communications and employee engagement activities.
