About The Position

CFS, Corp dba Grasshopper Group Health Services is hiring for an hourly part-time Administrative Assistant for our growing Outpatient Behavioral Health Clinic in Vincennes, IN. The Administrative Assistant provides vital administrative support in the daily operation of Grasshopper Group by performing varied clerical, custodial, and related administrative functions. This role requires sound independent judgment, proficiency in computer applications, and strong data entry and clerical skills.

Requirements

  • High School Diploma, GED, or equivalent (required)
  • Must maintain a current, valid driver's license from state of residence with a satisfactory driving record per company vehicle policy. Employees with an out-of-state license must obtain in-state licensure within 30 days of hire.
  • Must maintain current First Aid/CPR certification.
  • Must meet all pre-employment requirements as defined by CFS Corp, Apis Services, and applicable state regulations, service standards, and licensure requirements.
  • Must pass all required background checks per state and federal regulations.
  • Excellent written and oral communication skills.
  • Ability to communicate effectively with clients, caregivers, and placing entities.
  • Ability to work both independently and collaboratively as part of a team.
  • Proficiency in computer applications and office equipment including phone systems, computers, calculators, and copiers.

Nice To Haves

  • Two years of experience in a clerical or administrative position (preferred)
  • Associate's or Bachelor's degree in a social services or business-related field from an accredited college or university (preferred), with relevant experience.

Responsibilities

  • Perform data input for Grasshopper Group and its clients in an accurate and timely manner.
  • Maintain therapist schedules for staff and clients through the Electronic Health Record (EHR) system (Best Notes).
  • Maintain and verify client health insurance information to ensure accuracy prior to each therapeutic session.
  • Input health insurance payments into the EHR and other data collection documents.
  • Communicate with the Compliance Officer, Clinical Director, and third-party billing company regarding client health insurance claims.
  • Compose routine and general correspondence thoroughly, neatly, and legibly.
  • Answer incoming telephone calls, route calls appropriately, and take accurate and legible messages.
  • Greet and communicate effectively with staff, clients, visitors, and callers in a professional and courteous manner.
  • Review all incoming and outgoing correspondence; determine distribution and record pertinent information.
  • Maintain confidentiality and security of all client records at all times.
  • Maintain the refrigerator temperature log, dispose of outdated items, and report findings to the Compliance Officer and Clinical Director.
  • Conduct and document Environment of Care (EOC) checks for the facility and submit reports to appropriate leadership.
  • Coordinate and document Emergency Evacuation Drills and submit records to appropriate leadership.
  • Follow company procedures to promote optimum safety practices and a clean, safe, and secure environment for staff and clients.
  • Treat all clients with dignity and respect at all times.
  • Assist with the effective management of facility and departmental resources.
  • Remain alert at all times and respond quickly, efficiently, and calmly in emergency situations.
  • Supports the Grasshopper Group/CFS Corp mission, vision, and values and models all components of company policies and procedures.
  • Perform other assistive and clerical duties as assigned.
