About The Position

St Elizabeth, an Illuminus Community, is seeking a detail-oriented, friendly, and customer-focused Administrative Office & Reception Assistant. This role is responsible for answering telephones, greeting and directing visitors, and providing essential support to the administrative office. The ideal candidate will excel at creating positive first impressions, maintaining effective communication, and delivering high-quality customer service to residents, families, and guests. St. Elizabeth Home, an Illuminus Community, offers long-term care and short-term rehabilitation in a skilled nursing setting. Originally founded in 1967, St. Elizabeth is located just blocks from downtown Janesville in the beautiful Courthouse Hill Historic District between Upper Courthouse Park and Jefferson Park. Although small enough to make everyone living and working on campus truly feel like a family, St. Elizabeth offers those we care for a wide range of services and support. Requirements

  • 2–3 years of experience in a customer service role.
  • Proficiency with word processing and spreadsheet software.
  • Strong typing and filing abilities.
  • Proficient computer skills and comfort learning new systems.
  • Commitment to quality programs and services for all residents and patients.
  • Upbeat and personable communicator with strong customer service skills.
  • Ability to relate well to residents/patients, families, staff, and the broader community.
  • Ability to work cooperatively with other team members.
  • Ability to maintain and protect the confidentiality of information.
  • Ability to exercise independent judgment and make sound decisions.
  • Ability to tolerate interruptions and remain flexible with daily routines.

Responsibilities

  • Establish and enhance all impressions and encounters with residents, family members, and visitors.
  • Maintain and actively promote effective communication with residents and family members/personal representatives.
  • Maintain a positive image in the facility in alignment with our mission, vision, and values.
  • Greet and direct visitors; answer telephones and route calls to the appropriate person.
  • Sort and distribute incoming mail; prepare bulk outgoing mail.
  • Distribute resident status forms and on-call lists.
  • Collect and maintain admission documentation.
  • Transport lab specimens.
  • Stock supplies and personal protective equipment.
  • Arrange transport for resident appointments.
  • Prepare for appointments by making sure paperwork is sent with the resident.
  • Prepare admission and clinic paperwork is gathered and provided to nursing department.
  • Manage copy and mail machine repairs, and order toner and office supplies.
  • Perform typing and clerical duties for administrative staff.
  • Perform other similar duties as needed.
