About The Position

Aston Carter is partnering with a leading manufacturing organization to hire a full‑time Administrative Assistant. This role provides comprehensive administrative and clerical support across Human Resources, Project Management, Estimating, Engineering, and Manufacturing. The position focuses on accurate data entry, document control, and project coordination, supporting the preparation of customer quotes, proposals, and required forms. This opportunity is ideal for someone who enjoys detailed work, managing multiple priorities, and collaborating with cross‑functional teams in a fast‑paced, manufacturing‑driven environment.

Requirements

  • 3+ years of administrative support experience, ideally in manufacturing or construction.
  • High school diploma required; associate degree preferred.
  • Advanced intermediate proficiency in Excel, Word, Outlook, and Acrobat DC.
  • Strong data entry accuracy, attention to detail, and organizational skills.
  • Experience supporting multiple departments and coordinating projects.
  • Ability to transfer information accurately into the QAD system.
  • Strong editing, proofreading, math, and research skills.
  • Experience with document control and maintaining structured filing systems.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Clear and professional written and verbal communication skills.
  • Reliability, long‑term commitment, and a collaborative mindset.

Responsibilities

  • Perform general office duties including data entry, filing, document preparation, and cross‑departmental support.
  • Provide administrative support to the HR team as needed.
  • Support documentation and workflow for HR, Project Management, Estimating, Engineering, and Manufacturing.
  • Complete high‑volume data entry for customer forms using Excel, Word, and other applications.
  • Collect documents, maintain quote files, assemble binders, and ensure all materials are accurate and complete.
  • Maintain organized, current, and accessible records across multiple departments.
  • Create, update, and maintain customer forms and templates.
  • Download customer specifications and load them into proposal folders.
  • Confirm accuracy of customer pricing forms and ensure data links function correctly.
  • Maintain email logs to support accuracy and traceability in quote preparation.
  • Assist Estimating and Project Management with proposal content and document organization.
  • Enter budget sheet information into the QAD system with precision.
  • Provide support wherever needed, especially for leadership in project management, engineering, manufacturing, and estimating.
  • Complete additional administrative tasks or special projects as assigned.
