About The Position

The Administrative Assistant provides comprehensive administrative, customer service, accounting, and sales support for a dealership location. This role serves as the first point of contact for customers, supports multiple departments, manages financial and warranty documentation, and helps ensure smooth daily operations across the dealership and company locations.

Requirements

  • High school diploma or equivalent required.
  • Strong clerical and administrative skills.
  • General accounting knowledge.
  • Excellent customer service and communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Proficiency in Microsoft Office and standard office equipment.
  • Ability to handle confidential information professionally.
  • Ability to sit, stand, and walk throughout the workday.
  • Ability to lift up to 25 pounds.
  • Ability to travel locally for business-related tasks.

Responsibilities

  • Greet customers as they enter the store and direct inquiries appropriately.
  • Answer and route incoming phone calls; operate the Expert Connect call center for all 15 locations.
  • Assist customers with John Deere Financial statements and general account questions.
  • Maintain a welcoming, professional front-office environment, including coffee and popcorn service.
  • Provide administrative support to sales, parts, and service departments.
  • Draft and prepare routine correspondence, reports, and documents.
  • Distribute mail, maintain filing systems, and manage records.
  • Order and maintain office, coffee, popcorn, and service department supplies.
  • Travel to the bank and post office as required.
  • Prepare daily bank deposits and balance cash receipts.
  • Accept customer payments, post transactions, and submit paperwork for settlement.
  • Process customer prepayments, including farmer prepay transactions.
  • Assist sales staff with equipment deals and required documentation.
  • Verify agricultural tax exemption documentation.
  • Assist farmers in obtaining and validating state TID numbers.
  • Register all Stihl, Honda, and EGO warranties and enter them into Equip.
  • Maintain and manage Manufacturer’s Certificates of Origin (MCOs) for all 15 locations.
  • Contact other dealerships and vendors to locate parts as needed.
