About The Position

This role involves a variety of administrative and communication tasks. Key responsibilities include operating communication systems to manage incoming calls, directing them to the appropriate departments or individuals, and handling visitor check-ins. General administrative duties such as taking messages, providing information, and maintaining records are also part of the role. Additionally, the position requires locating specialized doctors for claimant examinations, scheduling these consultative examinations (CE), and managing follow-up calls to claimants. This includes printing and assembling CE packets for mailing, and faxing paperwork to doctors as needed. The role also involves responding to inquiries from claimants, vendors, and other sources regarding claim status or transportation assistance, such as mailing bus passes. Communication with claimants to inform them of appointments and pending paperwork, contacting doctors for follow-up reports or specific instructions, and hospitals for authorizations and reports are essential. The position also requires contacting claimant attorneys to answer basic status questions and assisting claim adjudicators by contacting claimants, attorney representatives, medical sources, and other sources as directed by the supervisor. Ensuring daily assignments are disseminated and completed using a tracking system, and conducting case development activities that require analysis and judgment are also key functions.

Responsibilities

  • Operate communication systems to answer, direct, and transfer incoming calls.
  • Manage visitor check-ins.
  • Perform general administrative tasks such as taking messages, providing information, and maintaining records.
  • Handle emergency calls and monitor alarms.
  • Locate specialized doctors near the claimant's location to complete exams requested by the Disability Evaluator.
  • Schedule consultative examinations (CE) including follow-up phone calls to claimants.
  • Print CE, assemble the packet to be mailed out to claimant, and send CE paperwork through fax if necessary to doctors.
  • Respond to inquiries from claimants, vendors, and other sources regarding status of claim or for transportation assistance.
  • Mail out bus passes to claimants.
  • Contact claimants to advise of appointments and paperwork that is still pending.
  • Contact doctors for follow reports or specific instructions.
  • Contact hospitals for authorizations and reports.
  • Contact claimant’s attorneys to answer basic status questions.
  • Contact claimants, attorney representatives, medical sources and other sources as directed by the supervisor to assist claim adjudicators.
  • Ensure daily assignments are disseminated and completed using a tracking system.
