About The Position

This is a part-time Administrative Assistant position in the Maritime department. The role involves providing comprehensive administrative and clerical support, managing front desk operations, assisting students with registration and inquiries, and maintaining student records. The position requires excellent communication and organizational skills, proficiency in Microsoft Office, and the ability to work independently and as part of a team in a fast-paced environment.

  • Basic skill level in Microsoft Office (Word, Excel & PowerPoint)
  • High school diploma or equivalent
  • Two years of office, clerical or administrative support experience; or an equivalent combination of education and experience to successfully perform the essential duties of the job.

Responsibilities

  • Answer incoming telephone calls, provide information, route calls to appropriate personnel, and take accurate messages.
  • Greet students, visitors, and community members at the front desk and assist with inquiries regarding courses, registration requirements, schedules, and services.
  • Monitor and respond to department email inquiries, provide timely and professional customer service to students and the public.
  • Assist students with course registration processes and enter registration information into student information system.
  • Maintain, organize, file, and retrieve student records while ensuring compliance with applicable confidentiality and record retention requirements.
  • Provide general administrative support including data entry, preparing correspondence, updating records, and maintaining office files.
  • Assist faculty and staff with administrative tasks and special projects as assigned.
  • Maintain reception area materials, forms, and informational resources for students and visitors.
  • Assist with student orientations, information sessions, recruiting events, and other departmental activities as needed.
  • Perform other duties as assigned that support department operations and student services.
