About The Position

The City of Newport Beach is seeking one full-time (non-exempt) Administrative Assistant to join the City Manager's Office and provide administrative support to the City Council. The ideal candidate will possess exceptional organizational abilities, strong communication and customer service skills, and a keen attention to detail. This position works closely with the City Manager's Office team in coordinating the administrative operations of the department and assisting the City Council. It involves maintaining calendars, making appointments, scheduling meetings, and coordinating departmental activities. The role also requires interacting with elected and appointed officials, department directors, and providing administrative support to City committees. Additionally, the Administrative Assistant will coordinate department personnel-related matters including payroll and work collaboratively with other departments. The position may work a 5/40 or 9/80 schedule.

Requirements

  • Four or more years of increasingly responsible administrative, secretarial, and clerical experience.
  • Graduation from high school.
  • Valid and appropriate California driver's license and an acceptable driving record may be required.
  • Must successfully complete a thorough background review, including being fingerprinted.

Nice To Haves

  • Government experience and experience working closely with senior management, boards, and commissions desirable.
  • Additional coursework or training in office administration, business administration or a related field desirable.
  • Strong executive support and communication abilities.
  • Highly organized.
  • Experienced in working in a fast-changing environment.
