Requirements

  • High school diploma or equivalent required
  • Proven client service and front-line customer contact experience, including phone attendant duties and use of multi-line telephone systems.
  • Strong verbal and written communication skills, with the ability to interact professionally with a diverse group of clients and associates.
  • Demonstrated ability to plan, prioritize, and organize work effectively while balancing multiple tasks, meeting deadlines, and working under pressure.
  • Proficiency with Microsoft Outlook, Word, and Excel, with the ability to learn and adapt to new software systems and office technology.
  • Ability to maintain a professional appearance and demeanor, work collaboratively with team members, operate standard office equipment, and remain flexible with scheduling and workflow demands.

Nice To Haves

  • 1–2 years of administrative or office experience preferred

Responsibilities

  • Serve as the front office point of contact by answering calls through the Western phone queue, greeting and assisting visitors, and managing incoming and outgoing mail and deliveries.
  • Maintain a welcoming and organized office environment by overseeing common areas and conference rooms, supporting a positive client and employee experience, and coordinating meeting room setup and cleanup.
  • Support office operations by tracking inventory levels, coordinating and placing orders for office and hospitality supplies, and ensuring materials are consistently stocked and available.
  • Perform administrative and clerical tasks such as data entry projects, credit card coding support, and other operational or centralized administrative tasks as needed.
  • Provide support to the Administrative Services team and other departments, including assisting during peak periods and taking on additional responsibilities as assigned.
