About The Position

The Administrative Assistant will provide critical support to a growing sales operation by managing order entry, billing, and day-to-day administrative coordination. This fully onsite role in Livonia offers steady daytime hours, a collaborative small-office environment, and the opportunity to directly impact a busy and successful sales team. The position is ideal for someone with strong administrative experience, excellent attention to detail, and comfort working in a fast-paced, high-volume, order-driven environment.

Requirements

  • At least 3 years of experience in administrative support, billing, or order entry, ideally within an order-driven environment.
  • Hands-on experience working in Sage or a similar ERP/accounting or CRM system for order entry, billing, and navigation.
  • Proficiency with Microsoft Office, including Excel, Outlook, and Word, for data entry, communication, and documentation.
  • Demonstrated experience with billing and invoicing processes, including accuracy in entering and reconciling data.

Responsibilities

  • Process customer orders accurately and efficiently, ensuring all required information is complete before entry.
  • Handle billing and invoicing activities within Sage or a similar ERP/accounting system, maintaining high levels of accuracy.
  • Work closely with the sales team to support order flow, address customer needs, and resolve issues in a timely manner.
  • Review order and billing documentation for accuracy, completeness, and compliance with internal procedures.
  • Maintain organized records related to orders, billing, invoicing, and related transactions for easy retrieval and audit readiness.
  • Perform data entry tasks with a high degree of speed and accuracy, including updating customer and order information in ERP or CRM systems.
  • Assist with general administrative tasks such as filing, document preparation, scheduling, and internal communications to support the office and sales team.
  • Provide clerical and customer service support, including responding to internal inquiries and coordinating with cross-functional stakeholders.
  • Manage time effectively to meet deadlines in a high-volume environment, especially during peak order periods and month-end activities.
  • Contribute to a positive, collaborative team environment by communicating clearly and professionally with colleagues across the organization.
