About The Position

Heart of the Valley Wealth Advisors is an independent financial services practice of Thrivent Financial, taking a broad-based approach to help clients achieve multiple financial goals. They assist clients in analyzing their current situation, developing in-depth financial programs, and implementing integrated financial strategies. Thrivent Financial is a faith-based, not-for-profit financial services organization with approximately 2.6 million clients, dedicated to helping others through financial solutions, client activities, and resources for the Christian community and nonprofit organizations. This full-time Administrative Assistant position is located in the Menasha, WI office and provides critical administrative support to Heart of the Valley Wealth Advisors. This role is essential to the client experience and requires a friendly, upbeat demeanor. The individual will support the daily operations of the practice, including, but not limited to: answering phones, meeting and greeting clients, handling and distributing mail and practice email, ordering supplies, utilizing Thrivent Financial computer systems and programs in support of client relations, and other administrative tasks as assigned. The Administrative Assistant reports to and is employed by Heart of the Valley Wealth Advisors.

Requirements

  • Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
  • Ability to maintain integrity of sensitive/confidential information
  • Basic understanding of our products, services, and Thrivent Financial

Nice To Haves

  • Previous administrative/secretarial experience desired

Responsibilities

  • Handles incoming telephone calls and emails to Heart of the Valley Wealth Advisors and responds to requests for information
  • Performs routine administrative duties such as maintaining office supplies, data entry of information, and processing mail
  • Prepares routine correspondence, reports, and special projects
  • Supports projects, administration of various programs, and processing functions as needed
  • Drive client facing activity in the practice by scheduling meetings with clients on behalf of the practice’s Financial Advisors
  • Update the contact management system with client contact and preference information
  • Assist Financial Advisors in preparation and follow up of client meetings
  • Provides back-up support on tasks that do not require any type of licensing or registration for other staff members, as needed
  • Completes other miscellaneous tasks as assigned
