About The Position

The Administrative Assistant provides professional administrative and front-office support for a large Catholic parish, supporting the Pastor, pastoral staff, ministries, and parishioners. This role ensures smooth daily office operations, accurate sacramental recordkeeping, timely communications, and courteous front-desk service while maintaining strict confidentiality and pastoral sensitivity.

Requirements

  • Position requires a minimum of high school education
  • Must be proficient in Microsoft Office Suite, primarily Word and Excel, and exhibit the ability to master computer programs used by parish.
  • Ability to generate and interpret data from the parish database.
  • This position requires a high level of accuracy in work, attention to detail, and organizational skills.
  • Ability to meet established deadlines.
  • Ability to answer a multi-line phone and to greet visitors.
  • Ability to use office equipment that is within the scope of the job.
  • Must be able to successfully pass BCI and FBI background checks.
  • Must attend a Protecting God’s Children class.

Responsibilities

  • Serve as primary front desk/contact person: greet visitors, answer and route calls, manage voicemail, and respond to general parish inquiries.
  • Maintain sacramental records and documentation: accurately record Baptisms, Confirmations, First Reconciliation, Marriages, and Deaths; prepare and issue sacramental certificates following diocesan policies; verify eligibility for sponsor/godparent letters and other requests.
  • Coordinate Mass intentions and maintain the Mass book; process associated requests and offerings.
  • Oversee office operations: maintain central office calendar, order and manage office supplies, coordinate mailings and courier services, and arrange service/maintenance for office equipment.
  • Support parish programs and volunteer coordination by preparing materials, assembling packets (new-member, sacramental prep), and assisting with event logistics as needed.
  • Liaise with ministries and external agencies (e.g., Saint Vincent de Paul) to route requests and coordinate assistance.
  • Participate in staff meetings, maintain professional communication, and uphold Other Responsibilities

  • Perform additional duties as assigned to support parish operations.
