About The Position

The Administrative Assistant will be responsible for various clerical and accounting tasks, as well as supporting the Staffing Supervisors. This position is currently not eligible for a hybrid work agreement unless mandated by the city, county, state, or federal government.

Requirements

  • High School Diploma or GED equivalent with one year of related experience required.
  • Adheres to Company Handbook and serves as a role model within and outside the company while maintaining a positive and respectful attitude.
  • Able to read, write, and fluently speak English.
  • Demonstrates flexible and efficient time management and ability to prioritize workload.
  • Consistently reports to work on time prepared to perform duties of position.
  • Dresses in appropriate business attire and is professional in appearance and mannerisms.
  • Must successfully pass a pre-employment and random drug test.
  • Must be proficient in Microsoft Office (Word, Excel, and PowerPoint).
  • Provides regular communication with management, clients, and others in a courteous and professional manner.
  • Ability to work with the Branch team to ensure a high level of communication and high quality of service in the full scope of sales and service.
  • Very computer knowledgeable and proficient with Microsoft Office Suite or related software and Outlook.
  • Has strong verbal and written communication skills.
  • Ability to multi-task, prioritize and work efficiently.
  • Ability to demonstrate good common sense and sound judgment.
  • Flexibility to adapt to all situations and work varied hours; possibly work weekends or evenings.
  • Ability to perform at high levels in a fast-paced, ever-changing work environment.
  • Ability to anticipate work needs and follow through with minimum direction.

Responsibilities

  • Receives incoming calls, determines nature of business, and directs callers to staff or transfers a caller to a voice mailbox when the specifically requested staff is unavailable.
  • Provides callers with information as requested.
  • Determines the nature of business for applicants as they enter the reception area.
  • Verifies the applicant has correct and necessary documentation for prescreening procedures.
  • Reviews all submitted timesheets for errors or omissions (cash advances, holiday pay, etc.) and enters total number of hours worked in each of the employee payroll tabs.
  • Runs a payroll timesheet report and calls authorized clients/employees to remind them of timesheets not yet submitted as necessary.
  • Assists in the completion of all candidate applications, testing, background checks, and ensures that accurate new hire reporting practices are followed.
  • Converts applicant resumes onto company letterhead.
  • Maintains the appointment schedule for all Staffing Supervisors.
  • Clears the voice availability line and submits call reports to the Staffing Supervisors and enters information into database.
  • Ensures front lobby and all applicant areas are tidy and clean.
  • Responsible for office supply inventory and ordering of supplies as needed.
  • Performs other duties as assigned.
