About The Position

This position provides general administrative support for the day-to-day operations for Saskatoon Temple & Community Services. Funded by Canada Summer Jobs, the role involves a variety of administrative tasks and some program support. Requirements

  • Completion of Secondary School or Equivalent
  • Minimum 2-3 years secretarial/ administrative experience is preferred.
  • Working knowledge of Microsoft Office an asset
  • Excellent oral and written communication skills
  • Ability to maintain a high level of confidentiality
  • Good decision-making and organizational skills
  • Attention to detail, problem solving and analytical skills.
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.
  • Able to work cooperatively in a team setting.
  • Ability to multi-task & prioritize responsibilities (i.e. good judgement)
  • Ability to lift/move weights of up to 20 lbs. occasionally.
  • Understanding of and support for the Mission and Ministry of The Salvation Army.
  • A vulnerable sector check and Praesidium Training is required.
  • Applicants must meet the hiring criteria for the Canada Summer Jobs program.

Responsibilities

  • Perform general office duties such as answering and screening calls, greeting and escorting visitors.
  • Draft and type correspondence or generate reports, research and respond to inquiries.
  • Draft and prepare presentations, brochures, flyers, advertisements, invitations, and certificates.
  • File documents electronically and manually and distribute materials.
  • Send and receive faxes/emails, and monitor general email accounts.
  • Manage incoming and outgoing mail and packages.
  • Prepare and maintain office supply inventory, and order supplies as needed.
  • Prepare property inventory and maintain inventory and destruction schedule of files.
  • Maintain and input data into Salvation Army Management Information System (S.A.M.I.S.) and other TSA software programs (e.g., Link2Feed).
  • Process financial procedures such as processing credit card donations and issuing temporary receipts for donations and payments.
  • Assist with deposits.
  • Handle and ensure protection of confidential employee, client, and program files.
  • Ensure workspace is kept neat and tidy and maintain the coffee bar.
  • Schedule or keep track of supervisor’s calendar.
  • Manage vehicle and room bookings.
  • Ensure rooms are ready for bookings and meetings and maintain cleanliness after usage.
  • Keep staff bulletin board up to date and organized.
  • Register campers for camps and process payments.
  • Maintain lists of campers and payments for CFS camps and Saskatoon Campers to Beaver Creek Camp.
  • Gather documents/money for the Business office.
  • Assist with registration and distribution of Christmas Hampers.
  • Perform other duties as needed.
