About The Position

ArcelorMittal Calvert is seeking an Administrative Assistant to provide administrative support through detail orientation, strong communication, and exceptional organization skills to support the executive team of ArcelorMittal Calvert. The ideal candidate will be proficient in Microsoft Office Suite and SAP, able to handle a fast-paced environment with strong organizational, multi-tasking, and prioritizing skills, and able to deal sensitively with confidential material. This role involves processing vacation/time off requests, reviewing visitor requests, planning site tours, supporting team members with Helpdesk tickets, ordering supplies, entering Purchase Requisitions, managing company vehicles, and pulling data for reports. The position also involves scheduling and organizing complex activities for the Steelmaking Team, liaising with other departments and customers, preparing presentations, taking meeting notes, and managing multiple schedules. The role requires demonstrating company values, ensuring a safe and healthy work environment, achieving quality commitments, and fostering teamwork. A working knowledge of ISO 14001, IATF 16949, and ISO 17025 is also required.

Requirements

  • High School Diploma or General Equivalency Diploma required
  • 5+ years assisting senior leadership or related experience
  • Microsoft Office Suite and SAP
  • Proficient computer skills including, but not limited to, Microsoft Office Products (Outlook, Excel, Teams, Word, PowerPoint)
  • Able to competently handle a fast-paced environment, with strong organizational, multi-tasking, and prioritizing skills
  • Ability to deal sensitively with confidential material
  • Handles confidential and non-routine information including explaining policies as needed
  • Prioritizing conflicting needs, proactive situational management with decisive and expeditious action, and following through with projects to successful completion frequently with challenging deadlines
  • Knowledge of standard office administrative practices and procedures.

Responsibilities

  • Provide administrative support through detail orientation, strong communication, and exceptional organization skills to support the executive team.
  • Process vacation / time off requests, review / approve visitor requests, and issue extended visitor passes.
  • Plan and organize site tours.
  • Support team members by assisting with Helpdesk tickets, ordering office supplies, entering Purchase Requisitions and goods receipts, ordering food and/or flowers for various events, and office / desk key management.
  • Pull data to create, analyze, and / or distribute reports such as Daily Operating Reports, Maintenance Reports, Monthly Summaries.
  • Manage company / fleet vehicles.
  • Support Administrative Assistants across the site.
  • Schedule and organize complex activities including, but not limited to, meetings, travel, conferences, meals, and activities for members of the Steelmaking Team.
  • Liaise with other mills, support groups, and customers both verbally and in writing.
  • Prepare presentations, take meeting notes, and manage multiple schedules.
