About The Position

The Southeast Arkansas Community Based Education Center (SEACBEC) is seeking an Administrative Assistant for a 12-month/245-day contract position. This role involves managing office operations, supporting staff and visitors, and assisting with various administrative tasks. The ideal candidate will be computer literate, possess basic bookkeeping skills, and have excellent organizational and communication abilities.

Requirements

  • Work experience as a Staff Assistant, Administrative Assistant or similar role
  • Computer literacy/skills
  • Minimum Bookkeeping
  • Willingness to learn new programs
  • Attention to details
  • Familiarity with office equipment (e.g. copiers, printers and fax machines)
  • Organizational skills/Filing
  • Verbal and written communication skills
  • Professionalism while collaborating with varying managerial levels
  • Multi-tasking

Responsibilities

  • Direct phone calls and distribute correspondence.
  • Handle requests and queries appropriately from staff, teachers, and visitors.
  • Manage calendar and schedule meetings and appointments.
  • Prepare agenda, sign-in sheets, and take minutes for any meetings.
  • Check in and out source office supplies once delivered.
  • Type letters and/or create spreadsheets.
  • Organize and maintain office filing system.
  • Prepare Assembly room and/or conference rooms (e.g. make reservations and check equipment) and light hospitality duties.
  • Cordially assist and scan background check for visitors entering building.
  • Event planning, organizing classrooms, office, furniture, etc.
  • Manage faculty time cards and attendance data on spreadsheet.
  • Email and correspond with area schools, to provide the Director with updates in schedule changes, school events, grades, other deadlines, etc.
  • Take attendance for on-site area students and notify school secretaries.
  • Perform other duties as assigned.
