As an Administrative Assistant at All South Consulting Engineers, you will play a key role in supporting daily operations across departments. From managing schedules and coordinating meetings to maintaining databases and assisting with internal communications, your contributions will help ensure the efficiency and effectiveness of our team. Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • 5+ years of experience in administrative support or a related role in a similar industry.
  • Familiarity with office management principles and practices.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Attention to detail and a high level of accuracy.
  • Ability to work independently and as part of a team.
  • Creative thinking and problem-solving abilities.

Nice To Haves

  • Experience with office management software and tools is a plus.

Responsibilities

  • Assist in the preparation and distribution of documents, reports, and correspondence.
  • Maintain and update company databases, ensuring accurate and up-to-date information.
  • Coordinate and schedule meetings, appointments, and events for various departments.
  • Handle general administrative tasks such as filing, data entry, and managing correspondence.
  • Ensure the office is well-maintained, including managing supplies and equipment.
  • Handle logistics for company events, including venue booking, catering, and equipment setup.
  • Provide on-site support during events, ensuring smooth operations and a positive experience for attendees.
  • Facilitate effective communication within the company by managing phone calls, emails, and other correspondence.
  • Coordinate with external vendors and partners to ensure timely delivery of services and materials.
  • Assist in the creation and management of content for internal communications and company newsletters.
  • Support the planning and execution of company projects and initiatives.
  • Monitor and report on the progress of projects, providing insights and recommendations for improvement.
  • Conduct research and gather information to support project development and decision-making.
  • Work directly with clients to address inquiries and provide information about company services.
  • Prepare and deliver presentations, reports, and proposals to clients and community stakeholders.
