About The Position

X-energy LLC is hiring an Administrative Assistant to support its Global Business Development team. This position is responsible to provide a wide range of administrative and managerial support. Responsibilities include calendar management and coordination of business meetings, preparing reports and data analysis.

Requirements

  • Typically, ten years of experience required.
  • High School Diploma required.
  • Proficiency using Microsoft Office Tools (Word, Excel, PowerPoint, Outlook).
  • Project coordination experience.

Responsibilities

  • Perform general office support tasks associated with onsite location.
  • Assist with department communications, including taking calls, responding to emails, and interfacing with external and internal guests.
  • Maintain an organized filing system of paper and electronic documents.
  • Record meeting minutes from meetings.
  • Conserve department leadership's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; reviewing quality related documents for accuracy and compliance; initiating telecommunications.
  • Perform correspondence, PowerPoint presentations, senior level meeting agendas, internal and external email communication.
  • Assist in information gathering by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Compile expense reports and maintain expense tracker spreadsheet as requested.
  • Suggest more efficient ways to run the office and troubleshoot malfunctions.
  • Uphold a strict level of confidentiality.
  • Maintain professional demeanor and behavior at all times in all forms of communication.
  • Lead the execution of the core tasks and responsibilities, listed in the Job Profile Task/Responsibilities section of this document, without close supervision and some latitude for independent judgment.
  • Provide feedback and guidance to more junior team members with the execution of the core tasks and responsibilities listed in the Job Profile Task/Responsibilities section of this document.
  • Shares knowledge related to industry best practices and standards with others across the team.
  • Perform other duties as assigned by manager.
