About The Position

This is a high-impact, high-touch administrative role supporting SVP and VP level leaders within the Cyber Security Office in a fast-paced, global environment. You will act as a trusted partner by bringing structure, discretion, forward planning, and sound judgment to complex priorities, helping the leadership team operate efficiently and professionally across internal and external stakeholders. In this role, you will provide comprehensive end-to-end support by anticipating needs, managing complex priorities, coordinating across global stakeholders, and ensuring senior leadership operations run smoothly. You will also have the opportunity to improve ways of working, strengthen administrative processes, and coordinate small projects that increase the effectiveness of the leadership team.

Requirements

  • 5+ years of administrative assistant experience, including proven experience supporting C-suite, or equivalent senior executive leaders within a large, complex, global organization across multiple time zones.
  • Proficiency with Microsoft productivity tools, including Outlook, Word, Excel, PowerPoint, OneNote, and Teams, with the ability to quickly learn and adopt new systems and ways of working.
  • Organizational, planning, and prioritization skills, with the ability to anticipate needs, manage competing deadlines, and deliver accurate work under time pressure.
  • Demonstrated flexibility, resilience, and sound judgment when managing competing priorities, responding to short-notice requests, and adjusting to the dynamic needs of a demanding senior leadership environment.
  • Highly professional communicator with the confidence to engage effectively with senior leaders, internal business partners, external stakeholders, and administrative peers across a global organization.
  • Collaborative team player who builds trusted relationships across departments and geographies, contributes positively to team culture, and helps others succeed.
  • Proven ability to apply initiative, foresight, and practical problem-solving in high-pressure situations, including identifying risks, resolving issues, and keeping work moving forward.

  • Associate degree or equivalent combination of education, training, and relevant professional experience.
  • Advanced Microsoft 365 skills, including the ability to use Outlook, Teams, PowerPoint, Excel, OneNote, and SharePoint to support executive productivity and collaboration.
  • Experience supporting senior leaders in a global, matrixed, or highly regulated organization.
  • Project coordination experience, including tracking actions, dates, dependencies, risks, decisions, and timelines across multiple stakeholders.
  • Experience coordinating complex meetings, leadership forums, events, or executive briefings with internal and external participants.
  • Ability to identify opportunities to improve administrative processes, simplify ways of working, and increase team efficiency.

Responsibilities

  • Own complex calendar management and meeting scheduling across geographies and time zones, ensuring senior leader commitments are prioritized and coordinated effectively.
  • Manage meeting logistics and technology requirements, including Teams, audio/visual support, connectivity, projection, and technical assistance.
  • Coordinate meetings, leadership forums, and internal or external events, ensuring planning, logistics, and stakeholder needs are managed to a high standard.
  • Liaise with internal and external stakeholders to confirm requirements, execute plans, resolve issues, and maintain momentum.
  • Prepare agendas, coordinate meeting materials, capture minutes when required, and communicate actions clearly.
  • Arrange domestic and international travel in line with company policies, including air, rail, hotel, and ground transportation.
  • Proactively manage a high-volume workload by setting priorities, tracking deadlines, triaging requests, and delivering accurately under time pressure.
  • Manage end-to-end senior leader expense reporting, ensuring timely, accurate, and policy-compliant submissions.
