About The Position

The Administrative Assistant reports to and receives direct supervision from the Team Manager, Mental Health and Addictions Services. The Administrative Assistant is responsible for providing technical support to assist the Team Manager, Mental Health and Addictions services in the performance of statutory, advisory services, and operational duties related to Six Nations Health Services. The role involves analyzing incoming and outgoing memoranda, preparing reports, coordinating meetings, typing correspondence, acting as a resource for administrative support and information sharing, identifying problems and suggesting solutions, planning and organizing functions, liaising with external agencies, and responding to public inquiries. The position also involves reviewing budgets, financial statements, accounts payable, and maintaining inventories. Additionally, the role supports the Six Nations Emergency Measures Plan.

Requirements

  • Graduate of Community College with a Diploma in Office Administration OR Business Diploma or equivalent, and three years’ experience in Office Administration.
  • High level of computer skills – Microsoft Office, Microsoft Word, Microsoft Excel.
  • Strong organizational and managerial skills.
  • Strong interpersonal, verbal and written communication skills.
  • Understands the importance of Confidentiality. Ability to work with tact and discretion.
  • Good knowledge of the Six Nations Community and highly sensitive to Six Nations culture.
  • Possess a current cardio-pulmonary resuscitation certificate.
  • Must have a vehicle and a Class "G" driver’s license.

Responsibilities

  • Analyzes incoming and outgoing memoranda, submissions and reports. Prepares and coordinates the preparation and submission of Briefing Notes and reports for the Team Manager.
  • Co-ordinates, arranges meetings as directed by the Team Manager.
  • Prepares agendas and makes arrangements for all staff meetings as directed.
  • Types and distributes correspondence, minutes, letters, and memos.
  • Acts as a resource to the Team Manager and program staff regarding administrative support, political issues as well as information sharing within parameters of the policy pertaining to confidentiality.
  • Provides leadership in assessing and identifying any problems or trends and suggests new and/or alternative solutions to facilitate resolutions to problems to the Team Manager and staff.
  • Circulates staff training and development program information to all New Directions Group staff.
  • Plans, organizes, directs, with staff input, major functions and activities of Six Nations Mental Health and Addictions services as approved by the Team Manager.
  • Co-ordinates all areas of administration pertaining to the effective and efficient administration and operation of the Team Manager.
  • Assists the Team Manager in conducting research, compiling data and preparing reports for consideration and approval by the Director of Health Services and Council on issues impacting on the Six Nations.
  • Liaise and interact with External Health agencies, First Nation governments and native organizations on political matters impacting on the Six Nations Mental Health and Addictions.
  • Promotes positive internal and external health services liaison between health agencies, Team Manager, Director of Health Services and Health Services Staff.
  • Responds to public inquiries with direction of the Team Manager for assistance and/or information. Where inquiries are of a sensitive and/or confidential nature, must exercise discretion and sound judgment.
  • Reviews with Team Manager all budgets, financial statements, reports and studies in support of the delivery of services and programs of New Directions Group within administrative guidelines under the direction of the Team Manager.
  • Reviews with Team Manager accounts payable, general disbursements for staff, develops and maintains documentation for respective funding agencies.
  • Maintains inventories of supplies, equipment and materials and secures replacements when required as per policy and budget guidelines.
  • Assists Six Nations Mental Health and Addictions to reflect a high degree of professionalism in planning activities such as meetings, taking of minutes and follow-up activities related to meetings.
  • Reviews, summarizes and researches current issues as directed.
  • Performs other job related duties as may reasonably be required by the Team Manager of New Directions Group.
  • Provides support for the Six Nations Emergency Measures Plan by ensuring awareness of the Emergency Measures Plan and assistance as instructed by the Director of Health Services as a member of the Emergency Control Group.
