About The Position

Under direction performs work of considerable difficulty accomplishing secretarial and administrative duties for the Finance and IT Departments; and performs related work as required.

Requirements

  • High School Diploma or GED and five years of progressively responsible clerical and secretarial work; or an equivalent combination of training and experience which provides the knowledge, skills, and abilities necessary to perform the required work in this position.
  • Must pass a background check as prescribed by the City of Davenport.
  • Considerable Knowledge of: Business letter writing and forms.
  • Considerable Knowledge of: Office practices and procedures and standard office machines and equipment.
  • Considerable Knowledge of: Correspondence procedures, forms and terminology.
  • Considerable Skill in: Various computer software such as: Excel, Microsoft Word, Teams, and PowerPoint.
  • Considerable Skill in: Maintaining various office records, accounts or files.
  • Considerable Skill in: Composing letters, memoranda and reports.
  • Considerable Skill in: Working independently without specific instructions.
  • Considerable Skill in: Communicating effectively both verbally and in writing.
  • Considerable Skill in: Maintaining confidentiality of sensitive information.

Responsibilities

  • Answer the telephone, handle routine calls, and route calls, as appropriate.
  • Prepare typed material: types correspondence from notes, or rough copy; drafts correspondence for supervisor; proofread and edit correspondence; take notes and prepare minutes of meetings.
  • Resolve administrative matters: schedule appointments; arrange and prepare meetings; prepare and maintain recommendations, reports, studies, and accounts; examine and summarize material for supervisor; assist in budget process including calculating of revenues and expenses, summarizing data, and maintaining records; coordinate special projects, programs, or events; may be asked to represent supervisor at meetings.
  • Provide information to co-workers and the public: explain department and City policy and procedure; describe department and City programs; provide guidance and direction; answer questions; direct to other sources of information.
  • Supervise the clerical phase of departmental operations: establish workflow and systems; implement decisions in accordance with generally established policy; recommend adjustments in policy.
  • Specific needs of the department will require the completion of varied and unique duties by individual Administrative Assistants, including payroll, travel, purchasing cards; support accounts payable/receivable, and invoice processing.
