About The Position

This position is responsible for providing administrative support within the organization and ensuring the efficient operation of LCAP services by performing a wide range of administrative tasks related to correspondence, accounts payable, payroll, and calendar management; work coordination; customer service; information gathering; and report compilation. The ideal candidate will demonstrate sensitivity, empathy, and understanding of the needs of older, impoverished, and developmentally disabled individuals. They should display common sense and good judgment and actively promote LCAP to the public. Upholding the highest level of confidentiality, honesty, and integrity is crucial, and the candidate must always represent the organization positively and professionally. A demonstrated working knowledge of computer operations and standard office equipment (copiers, faxes, etc.) is required, along with the ability to utilize all Microsoft Office services.

  • Maintain predictable and regular attendance, work stated hours, communicate, comprehend, and follow policies and procedures, and develop and maintain positive working relationships with all staff.
  • Must be able to perform all job responsibilities satisfactorily and meet the same job title's physical requirements.
  • Possess and maintain a Valid Ohio Driver’s License and the minimum auto insurance coverage for Ohio (must be able to provide proof upon request).
  • High school diploma or equivalent preferred
  • 3-5 years of administrative experience in a fast-paced environment
  • Excellent written and verbal communication skills
  • Excellent computer skills, especially Microsoft 365 and Adobe Acrobat
  • Excellent time-management skills and attention to detail
  • High level of interpersonal skills
  • Exercises tact and diplomacy with sensitive and confidential information
  • Strong organizational skills, ability to prioritize multiple, competing tasks, and demands
  • Have a passion for helping people, solving problems and contributing to a positive work environment
  • Excellent communication skills; written and verbal

Responsibilities

  • Help with Accounts Payable and assist in processing all organizational invoices
  • Obtain and retain the required new vendor documentation
  • Send billing and invoices as needed to clients and partner organizations
  • Assist with payroll
  • Participate in various meetings, including safety committee and policy meetings, and record meeting minutes
  • Follow compliance and ensure maintenance of all agency policies and procedures
  • Manage organization’s document control by preparing, facilitating, and/or coordinating various department documents (e.g., client forms, business cards, check requests, department signs, etc.)
  • Coordinate deposits for organization
  • Assist senior leadership with yearly audit preparations
  • Provide backup for reception as needed
  • Perform other related duties as needed or as assigned.
