About The Position

The Administrative Assistant will be responsible for a wide range of administrative duties to maintain smooth office operations. The position includes organizing files, scheduling appointments, and coordinating communication. The candidate must possess strong organizational skills, meticulous attention to detail, and the ability to juggle multiple tasks efficiently. This role is crucial in ensuring effective communication and organization within the workplace.

Requirements

  • High School Diploma, GED, or High School Equivalence Certificate.
  • Three to four years of administration experience and/or training, or an equivalent combination of education and experience.
  • Computer savvy using Microsoft Office, Windows PC, and Internet software applications.
  • Speaks clearly and persuasively.
  • Writes clearly and informatively.
  • Must be organized and detail-oriented.
  • Identifies and resolves problems promptly and works well in group problem-solving situations.
  • Able to deal with frequent changes, delays, or unexpected events.

Responsibilities

  • Front Desk Management: Greets and welcomes guests, directs visitors, ensures reception area is tidy, distributes mail, maintains office security, performs filing, photocopying, transcribing, and faxing.
  • Administrative Support: Answers incoming calls, takes and relays messages, manages agendas and appointments for management, coordinates administrative tasks and projects, orders office supplies, and anticipates the needs of others.
  • Project Management Support: Answers and routes incoming quotes, retrieves and provides requested documents, assists with project coordination and tracking deadlines, creates and updates records, drafts and finalizes project agreements, initiates project creation in the work system, generates 811 tickets, applies for permits, and archives completed work.
  • Documentation and Data Management: Maintains filing system by regularly reviewing and purging files, classifies and categorizes documents, maintains efficient electronic and paper-based filing systems, and coordinates with colleagues regarding data requirements or filing procedures.
  • Miscellaneous Support: Coordinates and assists with office events and activities, performs light office duties such as filing, making copies, and scanning, and carries out other duties as assigned by management.
  • Communication: Handles and redirects queries from internal and external clients, and takes and relays messages accurately.
