About The Position

The University of Pikeville is seeking qualified candidates for a full-time, administrative assistant to the Dean of the Patton College of Education (PCOE). This position provides comprehensive administrative, clerical, and operational support for the dean and serves as the primary point of contact for students, alumni, employers, faculty, staff, and community partners.

Requirements

  • Proficient written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Good time management and organizational skills.
  • Ability to multi-task, prioritize assignments, and meet deadlines.
  • Proficient with relevant computer software programs, including Microsoft Office software (Word, Excel, PowerPoint and Outlook) as well as the Google Suite (Google Docs, Google Sheets, etc.).
  • Ability to interact with administration, faculty, staff, and students in a highly responsive and professional manner.

Nice To Haves

  • Previous Administrative Assistant experience preferred.
  • Bachelor's Degree preferred.

Responsibilities

  • Provide clerical support for the educational activities of the PCOE.
  • Schedule appointments and take messages as needed for the PCOE Dean.
  • Prepare and file all correspondence.
  • Organize PCOE and Teacher Education Committee Meetings by preparing agendas, sending calendar invites, and taking and dispersing meeting minutes.
  • Properly stock and maintain organizational and teaching supplies and compile supply orders.
  • Assist in the development of class schedules.
  • Maintain curriculum contracts and education handbooks.
  • Collect and file any necessary information from education students while maintaining confidentiality.
  • Work closely with the Registrar’s Office getting students registered for appropriate classes after admission.
  • Organize, plan, and prepare for student events or other education activities.
  • Access, complete, and submit maintenance work orders.
  • Assist in report preparation related to annual reports, state program reviews, or accreditation.
  • Provide clerical support as needed for PCOE faculty or staff.
  • Other duties as assigned.
