About The Position

The Administrative Assistant of Student Life supports the Vice President of Student Life in leadership and management of Student Life. This position performs a variety of administrative duties for the Division of Student Life. Successful performance of duties requires the individual to interact with staff, faculty, students, and parents/family members in a fast-paced environment while remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality.

Requirements

  • 1-2 years of related experience required.
  • High School Diploma or equivalent required.
  • Effective interpersonal and communication skills are required.
  • Must be proficient in Microsoft Office, particularly Word, Excel, and PowerPoint with the ability to adapt to other technology and software packages as required.
  • Must possess the ability to work independently as well as part of a team in a professional and confidential manner.
  • Must possess the ability to manage and meet deadlines with attention to detail while performing in a fast-paced environment.
  • Must project a positive, professional, customer-focused image for the university.
  • Affinity with the overall mission of the University of Saint Mary.

Nice To Haves

  • Associate’s Degree or Bachelor's Degree preferred.
  • Higher education experience preferred.

Responsibilities

  • Provide administrative support to the Vice President of Student Life, including calendar management, appointment scheduling, travel scheduling, etc.
  • Serve as the primary contact for callers and visitors to the Vice President’s office and the Division of Student Life, referring individuals to the appropriate office, if necessary.
  • Support the division by performing routine administrative duties of all departments under the direction of the Vice President of Student Life.
  • Maintain a system for recording expenses which includes but is not limited to department invoices and budgets.
  • Prepare presentations, board reports, staff programming, and other forms of communication to ensure the delivery of complex material and provide it in understandable and actionable information.
  • Conduct research, gather, and assemble data for reports and prepare drafts as requested.
  • Provide support for staff meetings including but not limited to setting meetings, disseminating agendas, taking minutes, distributing minutes, and following up to ensure action items are organized.
