About The Position

Develop and administer programs and services which facilitate comprehensive student development. Responsibilities include assessing student needs and designing, implementing, budgeting, managing and evaluating student activities, services and programs for the Office of Student Life. Utilize advisory, technical, team leadership and administration skills. Exercises discretion, independent judgment and critical decision making within guidelines of University policies. Interpret University policies, rules and regulations and recommends new administrative procedures for improvement of student programs. Maintains frequent interaction with university personnel to discuss various aspects of student services, activities or programs. Acts as liaison between students, student organizations, faculty and the university. Assists with various projects and committees throughout campus and work on special projects as assigned.

Requirements

  • Bachelor's degree or equivalent.
  • Three years of experience in event planning, program development, or student engagement initiatives.
  • Demonstrated experience coordinating and executing events or programs of varying scale and complexity.
  • Experience managing logistics, budgets, and timelines associated with program implementation.
  • Effectively communicate, verbal and in writing, with students and customers on campus and off in a highly positive manner working toward effective problem resolution.
  • Exercise discretion and independent judgment in interpreting and implementing University policies.
  • Provide team support regarding work priorities/workflow, problem resolution/troubleshooting, training, and coaching of other team members.
  • Strong leadership, program management, and event planning skills.
  • Proficiency in using software and technology for program management, data analysis, and communication (e.g. Microsoft Office, presentation software).

Nice To Haves

  • Master’s degree in in Higher Education, Student Affairs, Business Administration, Communications, or a related field.
  • Five years of progressively responsible experience in event management, student programming, or communications.
  • Experience developing and overseeing academic or student leadership programs, including large-scale campus-wide initiatives.

Responsibilities

  • Manage, oversee and advise various student organization programs, Student Government Association and services. Provide direction and leadership to officers and student members of these organizations, including policy guidance, budget oversight, and interpretation of institutional policies, while maintaining and managing the student organization event calendar.
  • Manage registration of campus student organizations, totaling 100 or more each year, and ensure that the organizations adhere to university and system guidelines. Develop and create orientation and risk management program. Present annually to all organization officers re-registering each year and to officers of any new organization at time of registration. Advises officers on best practices, guidelines and policies of managing an organization.
  • Lead and co-manage the planning and execution of major campus events and signature programs, including orientation and SGA-sponsored events (e.g., TGIT, cultural programs, and wellness initiatives), by developing timelines, coordinating logistics, managing budgets, overseeing marketing and promotional efforts, assessing effectiveness, and driving continuous improvement and innovation.
  • Manage the new student online orientation program for all five UTMB schools.
  • Manage the planning and execution of the SGA intramural program including the allotted budget for all sports. Oversees the management and scheduling of referees/officials for the games.
  • Manage the operations, equipment and services in the Student Life areas of the Jamail Student Center and the ground floor of Ashbel Smith Building (Old Red).
  • Hire, train, schedule and supervise student employees hired through the financial aid Federal Work Study programs for Student Life.
  • Handle and advise inquiries regarding policies and procedures of Student Life and Student Government.
  • Represent Student Life as liaison with other processes/departments and agencies regarding building services, equipment and maintenance repair, and purchasing.
  • Develop, design and maintains the Office of Student Life web sites and social media accounts and ensures that they comply with university IHOP policies.
  • Write, produce and distribute “News and Notes newsletter sent weekly by e-mail to student body and administrative leadership across campus. Also maintains, updates and utilizes the university digital signage systems for promotional and informational purposes.
  • Manage and oversee the operations for the student food pantry, the Picnic Basket. Train, schedule and manage the student volunteers that help run the pantry.
  • Responsible for sending out communication to the student body on behalf of the Office of Student Life, Office of Student Services and periodically on behalf of other departments that are not granted access to the student email groups.
  • Design, conduct and manage student in-services, workshops, meetings and committees.
  • Initiate improvements in work process/environment.
  • Adheres to internal controls and reporting structure.
