About The Position

Wealthspire Advisors is seeking a detail-oriented, proactive, and highly organized Administrative Assistant & Special Projects Coordinator to support the Managing Director in both administrative and client development functions. This hybrid role blends administrative support with coordination of growth and outreach efforts. The ideal candidate excels at anticipating needs, maintaining professional polish, and managing multiple priorities with discretion and efficiency. Requirements

  • Bachelor’s degree required
  • 5+ years of experience in administrative support, business development, or client-facing roles
  • Strong written and verbal communication skills, with a professional and polished presence
  • Excellent organizational and time-management abilities; proactive and solutions-oriented
  • High level of discretion and emotional intelligence when dealing with sensitive information
  • Proficient in Microsoft Office suite

Nice To Haves

  • Experience in business, marketing, finance, or communications a plus
  • Experience in financial services or professional services environments strongly preferred
  • Experience with CRM systems (e.g., Salesforce) a plus

Responsibilities

  • Manage the Managing Director’s calendar, travel arrangements, meeting logistics, and daily priorities.
  • Screen, organize, and respond to internal and external communications.
  • Schedule and support meetings, including agendas, documentation, minutes, and follow-ups.
  • Handle confidential information with professionalism and discretion.
  • Assist with expense reports, scheduling, vendor coordination, and occasional personal logistics.
  • Support the Richmond Office in prospect pipeline management, follow-ups, and relationship development.
  • Coordinate with internal team members in the preparation of customized pitch materials, meeting briefs, and communications for prospective clients and referral partners.
  • Help identify, track, and build relationships with centers of influence (COIs) and other strategic partners.
  • Collaborate with marketing and client experience teams to execute visibility and engagement initiatives.
  • Assist in planning and executing events and campaigns that support local, regional and national growth strategy.
