About The Position

As a direct report to the Property Manager, the Administrative Assistant will support and lead key functions of the local property office including organization and routine processes of procurement, service, and accountability. The ideal candidate should have excellent communication skills (bi-lingual in English and Spanish), attention to detail, and a welcoming demeanor who works well independently. This role is part of the National Service team and is vital to the success of the property team.

Requirements

  • 2+ years of experience in related field required or similar role
  • Proficient in Microsoft Office (365-PC), FedEx Online, Form I-9 and employment document review programs, WhatsApp, and phone system management
  • Bilingual English and Spanish
  • Applicants must be legally eligible to work in the United States and must not require current or future visa sponsorship
  • High School diploma required
  • Proficiency in Microsoft Office (365-PC)
  • Adaptable to learn new software platforms and systems
  • Excellent listening, written, verbal, organizational, and interpersonal skills with the ability to work collaboratively with cross-functional teams, and customers
  • Hold a valid drivers’ license and have reliable transportation to commute to job site(s)/location(s)

Nice To Haves

  • Experience in Adobe Suite, DocuSign, and Microsoft Dynamics CRM is a plus

Responsibilities

  • Organize and maintain paper and digital files in the local property office
  • Build and maintain relationships with all Team Members and customer contacts
  • Prepare and distribute correspondence, memos, and reports
  • Schedule meetings, appointments, and catering arrangements
  • Manage key calendar and deadline reminders
  • Answer phones, take messages, and direct calls
  • Handle incoming and outgoing mail and correspondence
  • Provide urgent and excellent customer service
  • Greeting visitors and handling inquiries
  • Observe and maintain a clean, secure, and organized workspace
  • Ensure strong accuracy and attention to detail in all tasks
  • Directly supports and contributes to the Company’s mission to make a positive impact in the lives of the individuals we serve, by modeling our company’s core values
  • Comply with employment laws, regulations and guidelines as set forth by FLSA, FMLA, ADA, HIPPA, and other governing agencies.
  • Promotes and adheres to all occupational safety and health standards as required by OSHA, company policies, and other applicable regulatory agencies to ensure a safe and compliant work environment
  • Other duties to be performed, as assigned
