About The Position

The Administrative Assistant, Regional Locations provides day-to-day administrative and clerical support for the Associate Dean, Regional Locations and Beavercreek, Bellefontaine, and Xenia staff. This position serves as the Beavercreek location's frontline to students, faculty, staff, and the general public. This position performs a wide variety of administrative support services, all of which contribute to the efficient and professional operation of the Regional Locations. Shift: Monday - Friday; 7:30am - 4:30pm. Evenings and weekends, as needed. Location: Beavercreek This position is eligible for limited telecommuting opportunity on Fridays, with approval. This is subject to change pending College needs.

Requirements

  • Six months to two years of similar or related experience.
  • A high school education or GED.
  • Requires travel to multiple campus locations; a valid driver's license and/or dependable transportation is required.
  • Takes responsibility for personal actions, including completing tasks accurately and on time; arriving at designated work and meeting locations as scheduled; and being prepared to perform assigned duties and participate in activities.

Responsibilities

  • Provides frontline customer service for visitors, students, faculty, and staff at the Beavercreek location.
  • Receives and directs all incoming phone calls for the Beavercreek location and routes inquiries to the appropriate office or individual.
  • Receives and distributes student information to appropriate faculty and staff members, including student assignments and other student-related documents.
  • Provides general support to Student Services.
  • Provides general administrative support for the Associate Dean, Regional Locations, and the Beavercreek, Bellefontaine, and Xenia staff.
  • Performs office management duties, including: Setting up Beavercreek faculty mailboxes each term and serving as the point of contact for faculty and staff administrative needs.
  • Organizing the office, ordering supplies, and entering procurement requests in Self-Service.
  • Attending meetings; recording, preparing, and distributing meeting minutes; and assisting with special events.
  • Handling deliveries, vending issues, and inquiries from outside solicitors.
  • Assisting with scheduling meetings.
  • Creating and maintaining distribution lists.
  • Provides services to current students, including creating and distributing photo ID cards and directing students to appropriate individuals and offices.
  • Schedules and facilitates college representative visits.
  • Performs other duties as assigned by the supervisor.
