About The Position

Performs a wide variety of secretarial services for an executive, handling confidential and complex assignments, as well as routine tasks within established guidelines. The role involves relieving the executive of administrative duties and exercising independent judgment and initiative. This position requires a broad knowledge of department operations and policies and proficiency in various computer applications.

Requirements

  • Associates Degree, Professional Secretarial Certification or equivalent
  • Five plus years of experience
  • Broad knowledge of department operations and policies
  • Proficient in the use of computer applications including word processing, spreadsheet, presentation, graphic and database applications

Nice To Haves

  • Experience using Workday
  • Prior experience utilizing Concur for expense reporting and travel management
  • Strong event coordination experience, including room scheduling and logistics
  • Advanced proficiency in Microsoft Outlook

Responsibilities

  • Design, create, edit, research, and analyze various reports, charts, and graphs, communicating results to the Vice President and department direct reports.
  • Interface with corporate departments.
  • Handle highly confidential matters.
  • Take action during the executive's absence, exercising initiative and judgment to ensure matters are handled effectively.
  • Coordinate and develop presentations, create and edit correspondence, and other documents.
  • Conduct special projects requiring research and report development, which may include data collection and analysis for recommendations.
  • Greet and direct customers and visitors, answer routine questions, and direct to appropriate personnel.
  • Maintain confidential files, expense reports, and time records.
  • Assimilate data and information from various sources for the department.
  • Check data input for accuracy and correct errors.
  • Identify and utilize computer applications for required duties, such as statistical reports, tracking systems, presentations, and word documents.
  • Arrange schedules for management staff, make appointments, and coordinate travel arrangements and meetings.
  • Develop and provide training in areas of office expertise.
  • Design and administer office procedures, evaluating and revising them as necessary to improve office efficiency.
