About The Position

The University of Nevada, Las Vegas (UNLV) is seeking a highly organized and detail-oriented Administrative Assistant IV to support the Department of Brain Health in its administrative, financial, and academic functions. This position is crucial for managing daily operations, coordinating with faculty, staff, and students, and ensuring smooth workflows. Key responsibilities include maintaining departmental records, organizing schedules and travel arrangements, serving as a primary point of contact, and overseeing office procurement, equipment inventory, and key control systems while maintaining confidentiality and compliance with university policies. The role also involves managing department budgets, including grants, philanthropic support, and self-supporting accounts, preparing monthly financial reports, processing travel authorizations, expense reports, and honorarium payments, reconciling transactions, and overseeing purchasing activities. Collaboration with the Dean’s Office and university financial teams is essential for proper budget tracking. The position supports academic and human capital management, including onboarding, recruitment, hiring processes, and participation in neuroscience and School of Medicine programs. Responsibilities include facilitating HR policy compliance, preparing grant budgets, and supporting faculty research initiatives. This role may also include planning and executing department events and contributing to special projects to enhance departmental operations, with opportunities to collaborate on process improvements and take on other assigned duties.

Requirements

  • Graduation from high school or equivalent education.
  • Four years of progressively responsible relevant work experience, including experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources.
  • OR one year of experience as an Administrative Assistant III in Nevada State service.
  • OR an equivalent combination of education and experience.
