About The Position

The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is looking for an experienced Administrative Assistant who’s a great communicator with an amazing attitude. This position ensures projects and assigned deadlines are met. Researches and responds to inquiries concerning various classification-related topics and reports. Prepares reports and serves as the Property Liaison. When necessary, assists other department heads with project management.

Requirements

  • Office practices and procedures
  • Computers, equipment, and various computer software, including Google Suite
  • Verbal and written communications
  • Developing and standardizing spreadsheets
  • Establishing and maintaining interpersonal relationships
  • Project management and organization
  • Composing correspondence
  • Plan, analyze, coordinate activities, and establish priorities
  • Develop effective operating procedures
  • Interpret policies and procedures
  • Respond to issues with tact and diplomacy
  • Maintain confidential and accurate records
  • Three (3) years of responsible administrative experience reporting to a manager or administrator
  • ADCRR experience and knowledge of ADCRR policies and procedures
  • Proficient in using Microsoft Office and Google Suites
  • Possess and retain a current, valid class-appropriate driver’s license
  • Complete all required training
  • Successfully pass all necessary driver’s license record checks
  • Maintain acceptable driving records
  • Take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter
  • Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify)

Responsibilities

  • Performs monthly statistical reports for the classification, protective custody, and bed management
  • Processes and distributes Classification Max Packets
  • Manages and tracks the operating budget to ensure compliance with procurement policies and procedures
  • Orders and tracks items utilizing the Arizona Procurement Portal (APP)
  • Reviews, tracks, and responds to correspondence from the public and inmates
  • Tracks Director’s projects to ensure time constraints are met
  • Answers and directs internal/external calls and inquiries
  • Distributes inter-office and administrative mail
  • Drives on State business
  • Performs other duties appropriate to the assignment
