About The Position

The Department of Economics and Business at Colorado School of Mines is seeking a highly organized, proactive Administrative Assistant III to serve as the operational hub of our department. Requirements

  • Three (3) years of relevant experience which included administrative work, front desk reception, records management, and event management.
  • Proficiency with spreadsheet and word processing software (i.e. Word and Excel).
  • Strong interpersonal and customer service skills and the ability to establish rapport with people of diverse backgrounds.
  • Excellent organizational skills with the ability to prioritize tasks, make decisions independently and provide on-the-spot answers to administrative questions that arise.
  • Excellent judgment and discretion and be able to work confidentially with sensitive and protected information.

Responsibilities

  • Serve as the first point of contact for students, faculty, staff, and visitors, providing exceptional customer service and directing inquiries appropriately.
  • Coordinate office operations, administrative processes, and departmental workflows.
  • Manage calendars, meeting logistics, conference room scheduling, and shared department spaces.
  • Coordinate faculty, staff, student, and visitor travel arrangements and reimbursements.
  • Maintain departmental records, databases, communications, and websites.
  • Process purchasing, supply orders, expense reports, and other administrative transactions.
  • Assist with faculty searches and onboarding activities.
  • Coordinate communication efforts, including newsletters, announcements, marketing materials, and social media content.
  • Maintain departmental facilities, common spaces, office supplies, and operational resources.
  • Support department leadership with special projects, reporting, and administrative initiatives.
  • Coordinating logistics, scheduling, catering, and event materials.
  • Reserving and preparing event spaces.
  • Working with vendors, campus partners, faculty, and student groups.
  • Assisting with event setup, execution, and wrap-up activities.
  • Supporting guest speakers and visitors with travel and hospitality arrangements.
  • Troubleshooting day-of event needs and ensuring a positive participant experience.
