About The Position

Performs administrative work of moderate difficulty in routine or special project work specific to the assigned department. This role involves a variety of administrative tasks, including preparing reports, checking mathematical calculations, preparing correspondence, entering and retrieving data, taking and transcribing meeting minutes, and scheduling. The position also handles accounting and/or purchasing tasks related to the department’s budget or assigned program, assists in overseeing various aspects of the assigned department, and maintains office, database, and confidential/sensitive files. Research and development are also part of the duties, along with communicating with staff and the public in person and by telephone.

Requirements

  • High school diploma or equivalent.
  • A minimum of four (4) years of increasingly responsible clerical/administrative experience.
  • Must possess a valid Arizona driver’s license.
  • Knowledge of practices of office administration and basic accounting.
  • Knowledge of departmental clerical and office procedures, including various internal programs.
  • Knowledge of business English, spelling, grammar, punctuation, and composition.
  • Knowledge of clerical office practices and procedures.
  • Knowledge of research techniques and report writing.
  • Knowledge of current Microsoft Office software.
  • Knowledge of filing and recordkeeping.
  • Skill in customer service.
  • Skill in communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by telephone with public and employees.
  • Skill in establishing and maintaining effective working relationships with employees, other agencies, and the public.
  • Skill in organization and adherence to detail.
  • Ability to provide timely, accurate, professional, and confidential administrative support.
  • Ability to analyze and coordinate department activities with other departments, agencies, and jurisdictions and make appropriate recommendations.
  • Ability to prepare correspondence, write reports, and design forms.
  • Ability to answer inquiries and questions.
  • Ability to make inferences from written materials.
  • Ability to multitask and prioritize autonomously.
  • Ability to develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public.
  • Ability to keep management informed of key operating issues affecting the department.
  • Ability to remain current in knowledge required to perform assigned duties.
