About The Position

USC’s School of Cinematic Arts is seeking an Administrative Assistant II for the SCA Summer Program to join its team. USC's School of Cinematic Arts is considered one of the premier film schools in the country and works on the cutting edge of technology in media production and post-production. The Administrative Assistant 2 helps manage the day-to-day operations of the SCA Summer Program, which accepts exceptional applicants from around the world for a six-week program at USC’s School of Cinematic Arts.

Requirements

  • Bachelor’s Degree or equivalent experience in the entertainment industry
  • Minimum of two years working experience in the entertainment industry.
  • Must be proficient at multi-tasking.
  • Minimum Education: Bachelor's degree
  • Addtional Education Requirements Combined experience/education as substitute for minimum education
  • Minimum Experience: 3 years
  • Minimum Skills: Secretarial or specialized clerical and administrative experience.

Nice To Haves

  • Master's degree in Film and/or Television.
  • Knowledge of film/television production to support the courses where student produced content is the focus.
  • Preferred Education: Bachelor's degree
  • Preferred Experience: 4 years

Responsibilities

  • Managing all email, Zoom, and telephone communication with up to 350 students, and when applicable, their parents/guardians, before, during, and after the Program to provide information and facilitate problem resolution, serving as the initial point of contact for and responds to all information requests from students/parents or guardians and staff.
  • Working with the USC Office of International Services, guiding all International Students through the I-20 Visa application process; leading virtual information sessions for International Students.
  • Creating I-20 application accounts for all International Students needing visas. Reviewing and approving or denying all I-20 applications
  • Overseeing the hiring process of up to 30 Residential Advisors (RAs). Reviewing all RAs applications and interviewing, vetting, hiring, and supervising RAs. Training all RA to be in full compliance with USC Youth Protection Protocols, working in conjunction with the USC Office of Youth Protection
  • Processing of all Housing applications for up 200 Minor students living in the dorms. Arranging all of the room assignments for the Minors, based on their needs, accommodation, preferences, etc., in consultation with the USC Office of Student Accessibility Services
  • Living and working on campus for the entire duration of the SCA Summer Program – seven days a week for six weeks -- to ensure a safe and community-oriented experience for up to 300 students and 30 staff, and reports updates to the SCA Summer Program team. This includes weekday and evening activities and weekend events hosted within the residence hall and off-campus field trips with student documentation and parental permission forms.
  • Serving as the Supervisor to RAs and students on an assigned residence hall floor, and creates and maintains an accepting, respectful, and friendly atmosphere that stimulates student learning and development. Assisting with residential emergencies, including psychological, physical, mental health, and natural/environmental crises through attentive listening, genuine care and support, awareness of student needs, and appropriate consultation and referral. Enforces university policies, USC SCA Summer Program policies, confronts student behavior, and documents student actions and/or situations when necessary.
  • Creating and distributing promotional and marketing materials publicizing the Program and courses for online social media accounts, international distribution, and in-person displays.
  • Managing, maintaining, and updating the USC SCA Summer Program website and the USC SCA Summer Program Information Portal on SCA Community.
  • Managing, maintaining, and updating the USC SCA Summer Program Application Portal on SlideRoom.
