About The Position

Join CWI’s collaborative Center for Teaching & Learning team and play an important role in supporting faculty and the day-to-day operations of the division. The Administrative Assistant II provides organized, responsive administrative support across communications, purchasing, records, meetings, events, and special projects. This position is ideal for a detail-oriented professional who enjoys working with people, managing multiple priorities, and keeping things running smoothly. Reporting to the Dean of the Center for Teaching & Learning, this role works with faculty, staff, leadership, and campus partners to provide exceptional service and ensure administrative processes and events are well coordinated.

Requirements

  • Associate degree and two years of administrative support experience.
  • Strong customer service, interpersonal, oral, and written communication skills.
  • Proficiency with Microsoft Office and related productivity or educational software.
  • Strong organizational skills and attention to detail.
  • Ability to manage competing priorities, meet deadlines, exercise sound judgment, and collaborate effectively with diverse stakeholders.

Responsibilities

  • Deliver responsive administrative and operational support
  • Coordinate day-to-day office functions and provide timely support to leadership, staff, and faculty.
  • Organize, update, and maintain accurate records, documents, and tracking systems.
  • Manage multiple priorities and special projects while meeting deadlines and maintaining attention to detail.
  • Coordinate purchasing, budgeting, and resources
  • Process and track supply, purchasing, and budget-related requests and documentation.
  • Monitor administrative needs and ensure supplies, materials, and resources are available when needed.
  • Maintain accurate records to support efficient financial and operational processes.
  • Support effective communication and engagement
  • Assist with campus-wide communications and maintain content within Microsoft SharePoint.
  • Coordinate meetings, trainings, and events, including large conference-style events.
  • Manage event logistics such as materials, food orders, deliveries, supplies, and meeting arrangements.
  • Build trust through professionalism and service
  • Provide a welcoming, collaborative, and solutions-focused experience to faculty, staff, and campus partners.
  • Handle sensitive and confidential information with discretion and sound judgment.
