About The Position

The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc. Coordinates support for the University Charter program between the department, our service vendor, and our University partners. Guides student workers. Addresses customer service-related issues. Utilizes sound judgment and maintains professionalism when dealing with conflict. Becomes and maintains familiarity with the University of Alabama campus buildings and locations. Assists in the training and development of new staff. Works nights, weekends, and holidays as needed due to departmental operational requirements (athletic events, sorority recruitment, move-in, etc.).

Requirements

  • High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
  • Final candidates must submit to and successfully pass a post-offer drug screen.
  • Must have valid U.S. driver's license.
  • Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies.
  • Applicants under the age of 21 will have some driving restrictions.
  • Ability to interact effectively with a variety of people.
  • Good listening, comprehension, and communications skills.
  • Ability to work autonomously.
  • Ability to work under pressure and with frequent interruptions.
  • Proficient in using personal computers and standard application software (word processing, spreadsheet, and-or database management programs).
  • Strong organizational skills.
  • Ability to learn and use various department-specific phones, computers, and other online systems.
  • Cross-training expertise.
  • Strong planning skills.
  • Final candidates must successfully pass a pre-employment background investigation and information obtained from social media and other internet sources.
