About The Position

Under general supervision, performs complex administrative support on day-to-day operational matters for CNA Surety. Interacts and resolves issues which may be sensitive and confidential in nature. Collaborates with others, acting as a liaison between management and other business units. The role involves assisting management in coordinating organizational administration activities, drafting and distributing correspondence, collaborating with internal and external contacts, scheduling meetings and travel, preparing and processing reports, and potentially training staff or management on administrative processes. This position may also involve leading, mentoring, and training other staff, establishing and maintaining official documents, assisting management in special projects, attending meetings, and serving as the point of contact for charitable organizations and coordinating volunteer events in the Sioux Falls area. The role may also include backing up other Administrative Assistants and providing administrative assistance to other functional areas.

Requirements

  • Excellent written and verbal communication skills, including professional phone etiquette.
  • Excellent interpersonal skills with the ability to effectively interact with internal and external business partners and staff at all levels.
  • Strong computer skills, including Microsoft Office suite and other business-related software systems.
  • Willingness to learn and adapt to new technology rollouts.
  • Excellent organizational skills, including the ability to prioritize and coordinate multiple tasks.
  • Typically a minimum of four years of strong administrative experience.
  • Some college coursework in Marketing, Business, Accounting, etc., is desirable.

Nice To Haves

  • Overall general knowledge of the insurance industry and the business units is a plus.

Responsibilities

  • Assists management in the coordination of organizational administration activities, which may include accounts payable, cost center updates, desk assignments, and customer issues.
  • Resolves problems and issues independently and proactively within the scope of authority.
  • Drafts, prepares, and distributes correspondence, memos, documents, and reports using office technologies and software applications.
  • Collaborates with internal and external contacts regarding business unit administration issues and concerns.
  • Schedules and coordinates meetings, conferences, and travel arrangements.
  • Updates group or manager's business calendars as needed.
  • Prepares, processes, and may submit reports with a sense of urgency.
  • May train staff or management on other administrative processes.
  • May lead, mentor, and train other staff.
  • May establish and maintain official documents and records in appropriate files.
  • May assist management in special projects.
  • May attend meetings, seminars, etc., and record notes or provide information as needed.
  • Serves as the Point of Contact for Charitable Organizations that work with CNA Surety in the Sioux Falls area.
  • Coordinates volunteer events.
  • May back up other Administrative Assistants.
  • May provide administrative assistance to other functional areas.
