About The Position

This administrative assistant II role will support the team and patients/families in the Pediatric Aftercare Program. The patient population includes those who had pediatric cancers who are now adults and at risk for late effects from their disease and treatments. The successful candidate will work closely with a multidisciplinary team to perform administrative tasks such as schedule patients, support patients in an outpatient setting, and answer patient/family questions about the program.

Requirements

  • Completion of Secondary School or recognized equivalent
  • Completion of a recognized post-secondary office/medical administration program at the certificate level or equivalent
  • Two (2) years related administrative support experience
  • Experience working with EPIC EMR for managing referrals, appointment scheduling, and standard clinical operations is required
  • Excellent organizational, prioritization and time management skills
  • Excellent interpersonal, customer, verbal and written communication skills
  • Able to operate effectively in an interdisciplinary team
  • Ability to maintain and protect patient confidentiality

Nice To Haves

  • Experience working with pediatrics is an asset
  • Experience working with database and spreadsheet software is an asset
  • Previous on-the-job computer/word-processing in a Microsoft Office environment is preferred
  • Experience working in a teaching hospital environment is an asset
  • Knowledge of medical terminology is an asset

Responsibilities

  • Providing positive patient experiences in an outpatient clinical setting, meeting quality standards set out by UHN including registering patients, as needed, in UHN’s EPIC EMR (Electronic Medical Record) system, Epic
  • Support the timely and efficient processing of incoming referrals, scheduling/rescheduling of patient appointments, responding to patients' general inquiries, and cancelling patient appointments
  • Complete administrative tasks that support data entry for patient tracking requirements
  • Completing reminder phone calls and following-up with patients who don't show up for appointments and investigations
  • Utilizing knowledge of medical terminology to support health care professionals
  • Ensuring efficient operation of the office, clinic spaces and front desks, within scope of authority
  • Provide cross-coverage support as a member of an operational administrative team
  • Other duties, including front desk coverage, as required
