About The Position

SciTech Services is seeking an Administrative Assistant II to support the National Institutes of Dental and Craniofacial Research (NIDCR). The Administrative Assistant II will perform overall administrative services to support operational and deliverable objectives. Candidates must be eligible to obtain and maintain a favorable suitability determination.

Requirements

  • Associate’s degree in business administration or related field required.
  • Minimum of two (2) years of related experience.
  • Proficient in Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint) and the Internet.
  • Demonstrated ability to plan, organize and prioritize work in an environment with multiple and conflicting demands while maintaining confidentiality and handling sensitive matters diplomatically and discreetly.
  • Exercise initiative and work independently.
  • Excellent interpersonal skills, ability to communicate both verbally and in writing, with a positive attitude.
  • Close attention to detail with the ability to multi-task.
  • Exceptional organizational, leadership, analytical, and time management skills.
  • Experience with Human Resources databases such as Capital HR, Government travel process, and Professional Service Orders.

Responsibilities

  • Coordinate and manage specialized programs, administrative operations, and initiatives within the Office of the Clinical Director (OCD).
  • Provide comprehensive administrative and programmatic support for the Dental Clinical Research Fellowship, including coordinating fellow recruitment, application review processes, curriculum development activities, on-boarding, annual renewals, and stakeholder communications.
  • Manage the Office of the Clinical Director's calendar, schedule meetings and events, coordinate travel arrangements, and serve as primary point of contact among internal and external stakeholders to ensure effective communication, collaboration, and successful program outcomes.
  • Organize and support Clinical Case Conferences, Grand Rounds, weekly OCD meetings, and other educational and professional development activities.
  • Conduct program evaluation and administrative analysis in support of fellowship operations, educational programs, and organizational initiatives.
  • Assist in the preparation, coordination, and analysis of reports, metrics, program documentation, fellowship records, and operational data.
  • Support financial management, procurement activities, quality assurance initiatives, and program compliance efforts.
  • Provide guidance regarding established regulations, policies, procedures, and administrative requirements to support effective program administration and informed decision-making.
  • Support organizational planning and operational management by analyzing priorities, resource allocation, workforce needs, and performance objectives.
  • Coordinate the development and dissemination of program announcements, meeting materials, educational communications, and related correspondence.
  • Provide technical and administrative guidance to employees, supervisors, fellows, faculty, and managers regarding policies, procedures, and best practices.
  • Assist leadership in evaluating operational challenges, identifying process improvements, and assessing the impact of recommendations on organizational effectiveness, educational outcomes, and mission accomplishment.
  • Draft and format complex written documents.
