About The Position

This temporary position is responsible for providing administrative assistance to the Office of Recruitment and Admissions. The role involves answering phones, greeting visitors, providing information about college admissions policies and procedures, coordinating meetings, maintaining files, preparing correspondence, and supporting the Director with daily operations and recruiting functions. Additional duties include processing student ID cards, scanning documents, and performing related administrative tasks.

Requirements

  • Knowledge of modern office practices and procedures.
  • Knowledge of college and program policies and procedures.
  • Knowledge of computers and job-related software programs.
  • Skill in prioritizing and organizing work.
  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in oral and written communication.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/ internship or having had a similar position for one to two years.

Responsibilities

  • Answer telephone and greet visitors following departmental service excellence standards; provides general information and assistance to students and the campus community, including explanation of college admissions policies and procedures; refers to appropriate departments/personnel; takes messages and makes appointments.
  • Coordinates meetings; sets up rooms; takes minutes for departmental meetings.
  • Maintains department files and records.
  • Prepares correspondence and internal memoranda.
  • Provides support to the Director for daily operations and other admission and recruiting functions.
  • Sorts and distributes mail.
  • Processes Student ID cards for students.
  • Records and distributes meeting minutes.
  • Scans and indexes admissions documents.
  • Performs related duties.
