About The Position

The Administrative Assistant for the Department of Music provides administrative, financial, and customer service to the chair, students, faculty, and staff of the department. This position manages the front office, oversees day-to-day operations, and supervises student employees.

Requirements

  • High School or GED
  • Working knowledge of Microsoft Word, Excel, and Google Drive.
  • Strong organizational skills with the ability to perform tasks independently and with attention to detail.
  • Knowledge and experience with accounting procedures.
  • Customer service experience with the ability to communicate effectively and work well with a variety of individuals.

Nice To Haves

  • 2 Year / Associate Degree
  • Experience with Banner preferred.
  • Supervisory and office management experience preferred.

Responsibilities

  • Maintain department budgets by categorizing purchasing card expenditures, collecting, and filing receipts, and tracking department spending.
  • Provide periodic budget reports to chair and directors.
  • Use Banner for basic account reconciliation, including account balances, budgets, and transfers.
  • Keep a record of all financial transactions, including required documentation.
  • Assist faculty with supply and program equipment purchases by either using a university provided purchasing card or by initiating and processing requisitions and purchase orders.
  • Keep an inventory of all department equipment.
  • Assist faculty and students with department related travel arrangements, authorizations, and reimbursements.
  • General office duties include greeting visitors to the department and coordinating incoming and outing communications, such as phone inquiries, emails, and incoming and outgoing mail.
  • Hire, schedule, supervises and approve time for hourly student employees throughout the department.
  • Process semesterly full-time faculty overload and adjunct faculty course pay.
  • Schedule campus spaces for meetings, auditions, adjuncts, performances.
  • Attend campus sponsored training and stay up to date with university procedures.
  • Keep supplies stocked for the Music Department.
  • Maintain student files/records, including scholarships, auditions, etc.
  • Other duties as assigned.
