About The Position

This is a part-time Administrative Assistant I position. The role involves coordinating with department chairs and program coordinators to prepare schedules and support students and faculty. It also includes developing and maintaining filing systems for departmental records, monitoring supply inventory, and preparing faculty contracts and other departmental forms. The position requires communicating with students about various program-related matters, screening calls and emails, and scheduling/coordinating meetings. Additionally, the role involves participating in departmental meetings and recording minutes.

Requirements

  • High School Diploma or GED
  • Three years of experience providing administrative support
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
  • Ability to communicate effectively both orally and in writing.
  • Ability to proofread and edit written documents.
  • Skill in various computer software packages, such as word processing, spreadsheets, database and presentation programs, Internet, email and calendaring software.
  • Ability to understand and follow oral and written instructions.
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
  • Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Responsibilities

  • Coordinate with department chair and program coordinators in preparing schedules and supporting students and faculty to resolve scheduling situations.
  • Develop, implement and maintain paper and electronic filing systems for department procedural, faculty and student records and communications. Ensure to meet department needs and fulfill university and College of Education requirements.
  • Monitor supply inventory and order supplies as needed.
  • Prepare and review faculty contracts and compensation forms as well as other departmental forms and records.
  • Communicate with students regarding application, admission, course schedules, program requirements and other matters as needed.
  • Screen calls and emails; engage in routine communication following pre-established norms.
  • Responsible for scheduling and coordinating meetings, providing background support and document assembly and preparation with guidance.
  • Participate in departmental meetings and accurately record meeting minutes.
