About The Position

This part-time position maintains a high level of integrity and professional demeanor, including confidentiality of medical and mental health records and decorum in public spaces of the Counseling Center. The role supports daily administrative operations for the Counseling Center utilizing electronic software, handling high volume calls while providing timely and professional assistance to the public. The Administrative Assistant serves as the first point of contact for students, clients, campus partners, and community members, communicating with students in distress and expediting emergency protocols. This role requires discretion and judgment in handling requests and communications, independently managing procedural matters, and referring inquiries as appropriate. The individual must be well-informed of the center's services, resources, policies, and processes. Responsibilities include sorting and distributing mail, scanning identification and insurance cards, and maintaining the appearance of the waiting area. The work schedule may require occasional evening hours.

Requirements

  • High School Diploma or GED
  • Two years of experience providing administrative support
  • Experience in using good judgment as well as confidentiality when interacting with highly stressed individuals
  • Demonstrated strong organizational and critical thinking skills, efficient and personable
  • Ability to multitask in a fast-paced environment
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
  • Ability to communicate effectively both orally and in writing.
  • Ability to proofread and edit written documents.
  • Skill in various computer software packages, such as word processing, spreadsheets, database and presentation programs, Internet, email and calendaring software.
  • Ability to understand and follow oral and written instructions.
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
  • Formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

  • Knowledgeable in using Point and Click and Titanium Schedule software systems
  • Ability to use computer, scanner, printer and fax machines

Responsibilities

  • Handle high volume calls while providing timely and professional assistance to the public.
  • Receive, screen, and respond to telephone calls, visitors, and clients.
  • Serve as the first point of contact for students, clients, campus partners, and community members.
  • Communicate with students in distress and expedite emergency protocols.
  • Use discretion and judgment in answering and/or routing requests and communications.
  • Independently handle procedural and substantive matters and inquiries that do not require technical knowledge or refer callers to other personnel as appropriate.
  • Be well-informed of the center's services, resources, policies, and processes.
  • Sort and distribute incoming mail.
  • Scan identification cards and insurance cards.
  • Maintain the appearance of the Counseling Center waiting area by refilling brochures, magazines, and other literature.
